Manage your Pixlpay platform subscription and understand how billing works.

Overview

Pixlpay operates on a SaaS subscription model where you pay a fixed monthly fee for platform access. This is completely separate from your customer payments.

Two Separate Money Flows

It's important to understand that Pixlpay billing is completely separate from your customer payments. These are two different transactions that never mix.

1. Your Customer Payments (Your Revenue)

Your Customer → Your Stripe/PayPal Account → Your Bank
  • Customers pay you directly
  • 100% of payments go to your payment provider account
  • Pixlpay never touches this money
  • Payment provider deducts their fees (2.9% + $0.30 typical)
  • You receive payouts from your provider

2. Pixlpay Subscription (Platform Fee)

You → Pixlpay's Stripe Account → Pixlpay
  • Monthly subscription for using the platform
  • Charged to your payment method (card you provide)
  • Billed by Pixlpay directly
  • Completely separate from customer transactions

Each plan has specific numeric limits that are enforced by the platform.

Approaching Limits

The dashboard displays warnings when you're nearing your plan limits. Consider upgrading before hitting the ceiling to avoid disruption.

What Happens at Limit

When you reach a limit:

  1. Warning displayed in the dashboard
  2. Action blocked - cannot create more of that resource
  3. Upgrade prompt shown with recommended plan
  4. Existing items remain active and unchanged

Upgrading Your Plan

Upgrade anytime to unlock more features and higher limits.

How to Upgrade

  1. Go to Settings > Billing
  2. Click Change Plan
  3. Select your new plan
  4. Choose billing cycle (monthly or yearly)
  5. Review the charges
  6. Confirm and pay

Example: Upgrading from Starter ($19) to Growth ($49) on day 15 of a 30-day cycle:

  • Remaining days: 15
  • Daily rate difference: $1/day
  • Immediate charge: $15 prorated
  • Next month: $49 full charge

After Upgrading

  • All new features available immediately
  • Higher limits take effect instantly
  • Team members can be added right away
  • No need to restart or reconfigure anything

Downgrading Your Plan

You can downgrade to a lower tier at any time.

How to Downgrade

  1. Go to Settings > Billing
  2. Click Change Plan
  3. Select a lower tier plan
  4. Review what changes
  5. Confirm downgrade

Downgrade Timing

  • Takes effect at end of current billing period
  • Keep current features until period ends
  • No prorated refund for remaining time
  • Can cancel downgrade before period ends

Check Your Usage First

Before downgrading, ensure you're within the new plan's limits. If you exceed them, features will be restricted at downgrade.

What Gets Restricted

When downgrading, the following may be affected:

Feature Data Preservation

Your data is never deleted when downgrading:

  • Webhook configurations saved (just not active)
  • Email campaigns preserved (cannot send new)
  • Analytics data retained (limited view)
  • API tokens kept (API access disabled)

Payment Methods

Accepted Payment Methods

We accept all major credit and debit cards via Stripe:

  • Visa
  • Mastercard
  • American Express
  • Discover

Adding a Payment Method

  1. Go to Settings > Billing
  2. Click Add Payment Method or Update Payment Method
  3. Enter card details securely
  4. Click Save

Your card is stored securely by Stripe. Pixlpay never sees or stores your full card number.

Updating Payment Method

  1. Go to Settings > Billing
  2. Click Update Payment Method
  3. Enter new card details
  4. Save changes
  5. New card used for future charges

Failed Payments

If a payment fails, we'll work with you to resolve it:

Update Before Suspension

Update your payment method as soon as possible after a failure. Your store remains fully operational during the grace period.

Monthly Billing

  • Charged on the same day each month
  • Based on when you first subscribed
  • Example: Subscribe on the 15th, billed on the 15th monthly

Annual billing with a discount is planned:

  • Pay for 12 months upfront

Viewing Invoices

  1. Go to Settings > Billing
  2. Scroll to Invoice History
  3. View all past invoices
  4. Click any invoice to see details

Invoice Contents

Each invoice includes:

  • Invoice number and date
  • Billing period covered
  • Plan name and price
  • Applied taxes (if any)
  • Payment method used
  • Download as PDF

For Accounting

Download PDF invoices for:

  • Business expense tracking
  • Tax deductions
  • VAT/GST reclaim
  • Bookkeeping records

Taxes

How Tax Is Applied

Tax handling depends on your location:

If your organization is tax-exempt:

  1. Email support@pixlpay.net
  2. Include your tax exemption certificate
  3. Provide your business registration details
  4. We'll update your account within 2 business days

Free Trial

How Trials Work

The Pro plan includes a 14-day free trial:

  1. Sign up and select Pro plan
  2. Provide payment method (not charged yet)
  3. Full access to all Pro features for 14 days
  4. Cancel anytime during trial - no charge
  5. First charge on day 15 if you continue

During Your Trial

  • Full access to all Pro plan features
  • Create unlimited products
  • Add team members
  • Use all integrations
  • Access all analytics

After Trial Ends

If you continue:

  • First charge processes on day 15
  • Monthly billing begins
  • All features remain active

If you cancel:

  • No charge at all
  • Access continues until trial ends
  • Store reverts to Free plan
  • Data preserved, just feature-limited

Cancellation

How to Cancel

  1. Go to Settings > Billing
  2. Click Cancel Subscription
  3. Select cancellation timing
  4. Confirm your decision

Cancel at Period End (Recommended)

  • Keep access until current billing period ends
  • Store remains fully operational
  • No refund (you've paid for the period)
  • Can resume anytime before period ends

Cancel Immediately

  • Access ends right away
  • Store goes to Free plan immediately
  • Contact support for refund consideration

Reactivating Your Subscription

Changed your mind? Easy to come back:

  1. Go to Settings > Billing
  2. Click Resume Subscription (if still in period)
  3. Or select a new plan
  4. Enter payment method if needed
  5. Full access restored immediately

Frequently Asked Questions

Do you take a percentage of my sales?

No. Pixlpay charges zero transaction fees. We only charge a monthly subscription. Payment processor fees (Stripe, PayPal) go to those providers directly - we don't add anything on top.

Why monthly subscription instead of transaction fees?

This model benefits you because:

  • Predictable costs - Know exactly what you'll pay each month
  • No penalty for success - High sales volume costs you nothing extra
  • Your money is yours - 100% of customer payments go to you
  • Better legal clarity - Clean separation for tax purposes

Can I pay annually?

Annual billing with a discount is coming soon. Currently only monthly billing is available.

What happens to my data if I cancel?

  • Data retained for 30 days after subscription ends
  • Export your data anytime before expiration
  • Contact support for extensions if needed
  • Products, orders, and customers preserved

Can I have multiple stores on one subscription?

Each store requires its own subscription. However, all paid plans include the ability to manage multiple stores from one account (3 stores on Starter, 5 on Growth, unlimited on Pro).

Do you offer refunds?

We offer refunds within 14 days of any charge if you're not satisfied. Contact support@pixlpay.net and we'll process it promptly.

What if my payment fails?

You'll have a 7-14 day grace period to update your payment method. Your store remains operational during this time. We'll email you with instructions to update your card.

Can I switch plans mid-cycle?

Yes! Upgrades take effect immediately with a prorated charge. Downgrades take effect at the end of your current billing period.

Is my payment information secure?

Absolutely. All payment processing is handled by Stripe, a PCI Level 1 certified payment processor. Pixlpay never sees or stores your full card number.
