Email Templates
Email templates allow you to create reusable, branded email designs for your email marketing campaigns. Build once, use many times with dynamic content personalization.
Overview
The Email Templates feature helps you:
- Create professional, branded email designs that match your store's identity
- Build reusable templates for different types of campaigns (promotional, announcements, transactional)
- Use merge tags to personalize content for each recipient
- Preview templates before sending
- Organize templates by category for easy management
Templates vs System Emails
Email Templates are for custom marketing campaigns you create. System emails (order receipts, password resets, etc.) are automatically sent by Pixlpay and cannot be customized through this interface.
Template Categories
Templates are organized into three categories:

Creating a Template
Navigate to Marketing → Email Templates
Click New Template
Fill in the template details:
- Name: Internal name for your reference (e.g., "Summer Sale Template")
- Description: Brief description of the template's purpose
- Category: Select Promotional, Announcement, or Transactional
- Subject: Email subject line (can include merge tags)
- Content: HTML email content (use the visual or HTML editor)
Click Save Template
Subject Line Best Practices
Keep subject lines under 50 characters for mobile readability. Use merge tags like {customer_name} to personalize. Example: "Hi {customer_name}, 25% Off Just for You!"
Email Editor
The Email Editor provides two modes:
Visual Mode
- Rich text formatting with toolbar controls
- Bold, italic, underline text
- Headings (H1-H4) and paragraphs
- Text alignment (left, center, right)
- Ordered and unordered lists
- Insert links and images
- Easy-to-use interface for non-technical users
HTML Mode
- Full HTML editing capabilities
- Complete control over email design
- Syntax highlighting for easier editing
- Perfect for developers or importing existing templates
Email Client Compatibility
Not all email clients support modern CSS. Test your templates across multiple email clients (Gmail, Outlook, Apple Mail) to ensure consistent rendering. Keep layouts simple and table-based for best compatibility.
Merge Tags (Variables)
Merge tags are placeholders that get replaced with actual customer and store data when emails are sent.

Using Merge Tags
In the Visual Editor:
- Click the Merge Tag button in the toolbar
- Select the tag you want to insert
- The tag will be inserted at your cursor position
In the HTML Editor:
- Type the merge tag directly:
{customer_name} - Tags are case-sensitive and must be wrapped in curly braces

All marketing emails must include {unsubscribe_link} to comply with anti-spam laws (CAN-SPAM, GDPR). Always place it in your email footer.
Default Template
When you create a new template, it starts with a basic HTML structure:

Preview Templates
Before using a template in a campaign:
- Click the Preview button on any template card
- Review the rendered email with sample merge tag values:
{customer_name}→ "John Doe"{store_name}→ Your actual store name{current_date}→ Today's date
- Check formatting, images, and links
- Click Use This Template to create a campaign with it
Testing Emails
After creating a campaign, send test emails to yourself before launching to ensure everything looks correct in real email clients.
Using Templates in Campaigns
Once you've created a template:
- Navigate to Marketing → Email Marketing
- Click Create Campaign
- In the campaign creation form, click Choose Template
- Select your template from the list
- The template content will be loaded into the campaign editor
- Customize as needed for this specific campaign
- Continue setting up your campaign (recipients, schedule, etc.)
Alternatively, click Use Template directly from the Email Templates page to jump straight to campaign creation.
Managing Templates
Edit a Template
- Click the ••• menu on any template card
- Select Edit
- Make your changes
- Click Save Template
Duplicate a Template
- Click the ••• menu on any template card
- Select Duplicate
- A copy will be created with " (Copy)" appended to the name
- Edit the copy as needed
Delete a Template
- Click the ••• menu on any template card
- Select Delete
- Confirm the deletion
Default Templates
Templates marked with a "Default" badge are provided by Pixlpay and cannot be deleted. You can duplicate them to create your own customized versions.
System Email Templates
Pixlpay automatically sends 25+ types of system emails for various events:
Transactional Emails
- Order Receipt - Sent when payment is confirmed
- Delivery Instructions - Sent with product delivery details
- Delivery Failed - Sent if automatic delivery fails
- Invoice - PDF invoice for completed orders
- Gift Card - Sent to gift card recipients with redemption codes
Account & Security
- Email Verification - Sent to verify email addresses
- Password Reset - Password reset link
- OTP Verification - One-time password codes
- Team Invitation - Store team member invitations
- Two-Factor Auth - 2FA setup and codes
Subscription Management
- Subscription Trial Ending - 3 days before trial expires
- Subscription Payment Failed - When recurring payment fails
- Subscription Card Expiring - 30 days before card expiration
Marketing & Engagement
- Cart Recovery - Abandoned cart reminders
- Vote Reward - HytaleCharts voting rewards
- Retention Outreach - Re-engagement campaigns

Customization
System emails use your store's branding automatically (logo, colors, name). The content itself cannot be customized to ensure consistency and legal compliance.
Email Branding
All emails (both system and custom templates) include:
- Your store name in the header and footer
- Your store's primary color (if configured in Branding settings)
- Professional layout with dark theme matching Pixlpay's design
- Corner accents for visual consistency
- Mobile-responsive design that works on all devices
- "Sold by [Store Name]" notice for liability protection (required for legal compliance)
Best Practices
Design
- Keep emails under 600px wide for best email client compatibility
- Use web-safe fonts (Arial, Helvetica, Georgia, Times New Roman)
- Include both text and HTML versions for accessibility
- Test on multiple devices and email clients
- Use a single-column layout for mobile friendliness
Content
- Keep subject lines clear and compelling (40-50 characters)
- Put the most important information above the fold
- Include a clear call-to-action (CTA) button
- Personalize with merge tags for better engagement
- Always include an unsubscribe link
Legal Compliance
- Include your store name and contact information
- Provide a visible unsubscribe link
- Honor unsubscribe requests immediately
- Only send to customers who opted in
- Follow CAN-SPAM, GDPR, and other applicable laws
Deliverability
- Avoid spam trigger words ("FREE!!!", "ACT NOW!!!")
- Keep a good text-to-image ratio (more text than images)
- Use a recognizable sender name (your store name)
- Don't use misleading subject lines
- Test with spam checkers before sending large campaigns
Troubleshooting
Template Not Saving
- Check that all required fields are filled (Name, Subject, Content)
- Ensure your HTML is valid (close all tags properly)
- Try switching to HTML mode and checking for syntax errors
- Clear your browser cache and try again
Merge Tags Not Working
- Ensure tags are wrapped in curly braces:
{tag_name}, not - Tags are case-sensitive: use
{customer_name}, not{Customer_Name} - Only use the supported merge tags listed in this guide
- Preview the template to see if tags are being replaced correctly
Images Not Displaying
- Use absolute URLs, not relative paths:
https://example.com/image.png - Ensure images are publicly accessible (not localhost or private URLs)
- Many email clients block images by default - include alt text
- Consider hosting images on a CDN for better reliability
Template Looks Different in Email Client
- Email clients have limited CSS support - keep styles inline
- Avoid modern CSS features (flexbox, grid, transforms)
- Use table-based layouts for complex designs
- Test in Gmail, Outlook, Apple Mail, and mobile devices
- Use an email testing service like Litmus or Email on Acid
Can't Delete a Template
- Default templates provided by Pixlpay cannot be deleted
- Duplicate the default template and customize the copy instead
- Only custom templates you created can be deleted
- Ensure you have the correct permissions (Store Owner or Full Access role)
