Understanding Transactions

Direct Payment Model

All customer payments go directly to YOUR payment provider account (Stripe, PayPal, etc.). Pixlpay displays transaction data for your convenience but never holds or processes customer funds.

Transaction Overview

Go to Finance > Transactions to see:

  • All payments received
  • Refunds processed
  • Payment status
  • Estimated fee breakdowns

Fees Are Estimates

Pixlpay shows estimated fees based on standard rates. Actual fees are calculated by your payment provider and may vary based on:

  • Card type (debit vs credit, rewards cards)
  • Customer location (international cards)
  • Payment method (Apple Pay, Google Pay)
  • Currency conversion

Check your payment provider dashboard for exact amounts.

Important: All fees shown are charged by your payment provider, NOT by Pixlpay.

Pixlpay charges zero transaction fees. We earn revenue from monthly subscription plans, not from taking a cut of your sales.

What Pixlpay Charges

Pixlpay charges a monthly subscription fee based on your plan:

  • Free plan: $0/month (limited features)
  • Starter: Starting price/month
  • Growth: Higher tier/month
  • Pro: Premium tier/month

This subscription is billed separately from customer transactions.

Refunds

Issuing a Refund

Refunds are processed from the order page:

  1. Go to Orders and find the order
  2. Click on the order to view details
  3. Click Refund button
  4. Enter refund amount
  5. Add reason (optional)
  6. Confirm refund

The refund goes back through the original payment provider.

Partial Refunds

Refund only part of the transaction:

  • Enter specific amount
  • Reason tracked in logs
  • Multiple partial refunds allowed
  • Up to original amount

Refund Fees

Most payment providers do not return their processing fees when you issue a refund. For example:

  • You receive $48.24 (after $1.75 Stripe fee)
  • You refund $49.99
  • You lose the $1.75 fee

When a customer disputes a charge:

  1. Customer contacts their bank/card issuer
  2. Bank files dispute with payment provider
  3. You're notified in Pixlpay and provider dashboard
  4. Funds are held during investigation
  5. You can submit evidence
  6. Bank makes final decision

Responding to Disputes

Gather evidence:

  • Order confirmation emails
  • Delivery proof (commands executed)
  • Customer communication
  • Terms of service acceptance
  • Product/service description

Dispute Fees

Most providers charge a dispute fee ($15-25) regardless of outcome. This fee is:

  • Charged by the payment provider
  • Applied whether you win or lose
  • Sometimes refunded if you win (provider-dependent)

  1. Apply filters (date range, type)
  2. Click Export
  3. Choose format (CSV)
  4. Download file
